Details: Administrative Assistant Location: (West) Houston, TX POSITION SUMMARY Under direct supervision, provides general administrative support to a department or group of professionals. Compiles and analyzes basic information for inclusion in reports or presentation materials, prepares charts, graphs, or tables as necessary. Receives and responds to routine correspondence following established procedures not requiring management review. Requires the ability to exercise independent judgment and employ basic reasoning skills. Duties and Responsibilities • Performs administrative and office support activities for the Provider Contracts Team. • Answers and transfers incoming telephone calls, • Receives and directs visitors • Performs word processing, filing, and email/faxing State Plan / Department Specific Duties and Responsibilities Primary job functions include: Priorities Relieve management of administrative details Help coordinate work flow Update and chase delegated tasks to ensure progress to deadlines; help keep projects on schedule Help develop and maintain procedure manuals to ensure consistency Enter claims data into Amisys/PDR system Open and sort daily correspondence from provider Utilize appropriate systems using extensive research to identify daily incoming correspondence as new complaints or appeals Generate approval and denial letters for Appeals Manager and Medical Management Staff Prepare new files for Appeals Manager and Medical Management staff to review Assist Appeals Coordinators with generating approval and denial letters Enter denials and requests for appeal into information system and prepare documentation for further review Research issues utilizing QNXT claims, authorization modules and any other available documents as appropriate Assist with interdepartmental issues to help coordinate problem solving in an efficient and timely manner Assist with provider inquiries related to claims Order and maintain department supplies File and mail denial/approval letters to provider daily Retrieve files as needed for review Provide management information for daily reporting Act as recording secretary; prepare action minutes for department meetings Perform additional duties as assigned Communication Compose correspondence/reports for own or supervisor’s signature Arrange essential mail in priority action order for supervisor Check deadlines on incoming requests and put preliminary work in play Process replies on own initiative,from supervisor’s dictation or notes Help research, draft and/or abstract reports Appointments/Meetings Prepare agenda in advance and arrange meeting facilities Act as recording secretary; prepare action minutes Confidentiality Use discreation and confidentiality when performing all business Data Management Improve/tighten storage/retrieval systems Update and manage index Projects Help handle administrative detail on all projects Seek greater role in projects within administrative and other areas of competence Seek training on projects outside own range Supervision Help recruit, hire, train, and supervise part-time, full-time, paid, unpaid/volunteer secretarial or clerical staff, as required Support structural design and maintenance of a “Knowledge Library”, commonly referred to as "Language Library". Specifically work collaboratively and efficiently in a matrix team environment on developing and implementing an MCST SharePoint Forum, which will provide access to relevant library materials, including but not limited to; provider contract rates & terms, hi-level PCRP & CSST ticket data, contract modeling tools, etc, pertaining to MCST activities. Knowledge, Skills and Abilities • Extensive software skills & competencies are required, as well as Internet research abilities and strong communication skills. Includes: MS Office (Outlook, Word, Excel, PowerPoint) and also preferably a familiarity with Visio, Project and Access) • Excellent verbal and written communication skills • Ability to abide by Molina’s policies • Maintain regular attendance based on agreed-upon schedule • Maintain confidentiality and comply with Health Insurance Portability and Accountability Act (HIPAA) • Ability to establish and maintain positive and effective work relationships with coworkers, clients, members, providers and customers • Ability to exercise independent judgment and employ basic reasoning skills. QUALIFICATIONS Required Education: Minimum High School or GED Preferred Education: AA Degree Required Experience: • Minimum 1 to 2 years experience in an administrative role Experience in the following: • Working in a claims processing environment. • Amisys and QNXT systems. • Microsoft Excel with formatting and developing spreadsheets.
